Privacy Policy

SIDETRAKKED respects your privacy and is committed to protecting the personal information you share with us. This policy explains what we collect, why we collect it, how we use and protect it, and the choices you have. It applies to our website at sidetrakked.com and to the Trip Audit planning service.

SIDETRAKKED is operated by Rob Jensen as a sole proprietorship based in British Columbia, Canada. We handle personal information in accordance with British Columbia’s Personal Information Protection Act (PIPA) and, where personal information is transferred outside British Columbia, Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). Rob Jensen is accountable for the personal information under our control. If you have any privacy questions, you can reach us at admin@sidetrakked.com.

The Information We Collect

Information you give us directly. When you contact us, book a call, or complete the Trip Planning Questionnaire, we collect the details you choose to provide. For the Trip Planning Questionnaire, this includes your email address (and, if you choose, a phone number, WhatsApp handle, or messaging username you can add as an optional backup contact) and the trip preferences and planning context you share about yourself and the people travelling with you. We do not ask for, or require, medical diagnoses, health records, full dates of birth, passport or citizenship numbers, or your home street address. For each traveller we ask which country issued the passport they will travel on, because it determines entry and visa requirements. We ask for the issuing country only, never the passport number. We only ask whether something might influence your trip planning such as whether you would prefer to stay close to medical care, need step-free access or gentler terrain, or have limits on the activities we should plan around. We ask about dietary needs, age ranges, home region, and passport-issuing country only to the extent they affect logistics or help us tailor our recommendations. Providing this context is your choice; if you leave it out, we plan on the assumption that there are no relevant restrictions.

Payment information. Payments for the Trip Audit are processed by Stripe. We do not see or store your full card number. Stripe handles your card details directly. We receive confirmation of payment and limited details such as your name, email, and the amount paid.

Information collected automatically. If you leave a comment on the site, we collect the data shown in the comment form, plus your IP address and browser user-agent string, to help with spam detection (and an anonymized hash of your email may be sent to Gravatar to check whether you use it). Cookies are described below. Articles may include embedded content from other sites, which behaves as if you had visited that site. We use Fathom Analytics to count visits and see which pages are read. Fathom does not use cookies and does not collect information that identifies you; it records anonymous totals such as page views, referring sites and device type.

Consent record. When you submit the Trip Planning Questionnaire, you must check a consent box first. We record that you gave consent, along with the date, time, and IP address at submission, as our proof that consent was given.

Why We Collect It

We collect personal information only for purposes a reasonable person would consider appropriate: to provide and deliver the Trip Audit and related planning services; to communicate with you; to process your payment; to schedule and manage calls; to operate, maintain, and secure our website; and to meet our legal, tax, and accounting obligations. We collect only what we need for these purposes.

Consent

By completing and submitting the Trip Planning Questionnaire, which requires checking the consent box, you give us your express consent to collect and use the information you provide for the purposes above, including the AI-assisted analysis described below. You can withdraw your consent at any time by emailing admin@sidetrakked.com, subject to legal and contractual limits. Withdrawing consent may prevent us from continuing to provide the planning service, and it does not undo work already completed. We will not add you to any marketing or newsletter list without your separate, explicit consent.

AI-Assisted Analysis

We use AI-assisted software tools to help analyse Trip Planning Questionnaire responses and to research and prepare your trip-planning documents. Before your information is entered into any of these tools, we remove direct identifiers and we use first names only and strip out email, phone, and other backup-contact details. Therefore the working copy used for analysis does not contain your full name or contact details. These tools are provided by companies located outside Canada, including in the United States, and we configure them, where the setting is available, so that your data is not used to train their AI models or retained beyond what is needed to prepare your plan. Because this analysis is part of how we prepare every plan, it is included in the consent you give when you submit the Trip Planning Questionnaire. If you have questions about our use of these tools, contact admin@sidetrakked.com.

Newsletter

If you sign up for the newsletter or the Resource Library, we collect the email address you give us and use it to send travel and planning updates, new guides, and occasional news about SIDETRAKKED services. Signing up is a separate choice, confirmed by a link we email you. We never add you to the newsletter from the Trip Planning Questionnaire or from a purchase. The newsletter is sent through MailerLite, which stores and processes email addresses outside Canada. Every newsletter has an unsubscribe link, and you can also email admin@sidetrakked.com to be removed.

How We Share and Store Your Information

We do not sell your personal information. We rely on a small number of trusted service providers to run the business: Stripe (payment processing); Hostinger (website hosting and email: your Trip Planning Questionnaire responses are stored in our website’s own database, hosted by Hostinger, and notification emails are sent through Hostinger’s mail servers); Calendly (scheduling calls when you choose to book one); MailerLite (newsletter, only if you sign up); Google (Google Drive, used to deliver your finished Trip Audit files); and Notion (our private client records). Your Trip Planning Questionnaire responses are managed within our own website using the Fluent Forms tool and are not shared with the plugin’s maker. We share information with these providers only as needed to deliver the service, and may disclose information if required by law.

Cross-border storage. Some providers, notably Stripe, Calendly, MailerLite, Google, Notion, our AI-assisted tools, and potentially our host, store or process data on servers outside Canada, including in the United States, where it may be accessible to that country’s courts, government, and law enforcement under its laws. By using our services, you acknowledge this.

How Long We Keep It

We keep personal information only as long as we need it, or as required by law. Trip Planning Questionnaire responses and trip-planning files are kept while we provide your service and for up to 18 months afterward, then deleted or anonymized, unless you ask us to delete sooner. Consent records are kept as long as we hold the related information; payment and accounting records: as required by Canadian tax and accounting rules; and blog comments are retained indefinitely so we can recognize follow-up comments.

Keeping Your Information Secure

We take reasonable steps to protect your personal information, including serving the site over a secure (SSL) connection, limiting who can access form responses, removing direct identifiers before AI-assisted analysis, and using reputable service providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we protect your information appropriately to its sensitivity.

Your Rights

Under these laws you have the right to access the information we hold about you, correct inaccurate or incomplete information, request deletion (subject to legal and accounting retention), and withdraw consent. To exercise any of these, email admin@sidetrakked.com; we will respond within a reasonable time (generally within 30 days) and may need to verify your identity first.

Cookies

If you leave a comment you may opt in to saving your name, email, and website in cookies for one year. Visiting the login page sets a temporary cookie to check whether your browser accepts cookies. Logging in sets cookies to save your login and screen-display choices. Editing or publishing an article saves an additional cookie recording the post ID, which expires after one day.

Links to Other Sites and Affiliate Links

Our website may link to third-party sites and may, now or in future, include affiliate links (where we earn a commission if you make a purchase, at no extra cost to you). We are not responsible for the privacy practices or content of other websites.

Changes to This Policy

We may update this policy from time to time. The “last updated” date below shows when it was most recently changed; material changes will be posted on this page.
